You need to be organised. Our team picks their optimal baseline routine and sticks to it 98% of the time so collaboration stays seamless.
🎯 4 Blocks, 4 Outcomes: We don’t measure passive hours; we measure impact. A standard day is broken into four highly focused 1.5-hour blocks, each dedicated to a specific, tangible deliverable. For a designer, that might mean: Block 1: Sketch, Block 2: Line Art, Block 3: Colouring, Block 4: Polish. Clear goals, zero guesswork.
🧠 Built-in Rest (Including a 1-Hour Lunch): Burnout is banned. Each 1.5-hour outcome block is followed by a mandatory break. We do a 30-minute breather in the morning, a full 1-hour break for lunch to properly disconnect, and a 30-minute reset in the afternoon. We expect our team to go completely AFK (Away From Keyboard)—stretch, hydrate, read, socialise, it is up to you but step away from your desk, as much as possible away from your screens, and if possible out of your office/study/room.
🚀 Fueling Career Ambitions: We don’t want you just doing a job; we want you building a career. We tie daily projects directly to personal milestones through regular Personal Development Reviews (PDRs) so your day-to-day work feeds your long-term ambitions.
🤝 Friday Afternoons for the Community: Fridays are focused on core business until 13:00. After that, three Fridays a month are dedicated to charitable work—like volunteering at local soup kitchens, animal sanctuaries or gathering item donations.

1. Workplace Policy Purpose and Scope
This document defines the operational standards, expectations, and requirements for all employees and contractors of 3E Web Media Ltd. As a digital-first publisher, consulting, and e-learning platform provider, the company operates under a permanent remote-working model.
This policy applies to all personnel. It covers day-to-day remote operations, specific exceptions requiring physical attendance, data security compliance, and workplace well-being.
2. Flexible Hours, Organisation, and Alignment with Ambition
3E Web Media Ltd operates on a highly structured, flexible-hour model tailored to individual lifestyles, heavily focused on meaningful outputs and long-term career growth.
Customisable Schedules: Staff may choose working hours that suit their personal commitments (e.g., a standard 09:00 to 17:00 baseline, a 10:00 to 18:00 pattern, or a split shift like 10:00 to 14:00 and 16:00 to 20:00).
- Block 1: 1.5 hours work > Break 1: 30 mins (Morning coffee/stretch)
- Block 2: 1.5 hours work > Break 2: 1 hour (Lunch)
- Block 3: 1.5 hours work > Break 3: 30 mins (Afternoon reset)
- Block 4: 1.5 hours work > End of Day
Consistency and Reliability: High organisational skills are essential for this remote model to succeed. Employees must select a baseline pattern and stick to it at least 98% of the time. While flexible arrangements exist to support real life, exceptions must remain exceptions and cannot become the daily norm.
Career Alignment & PDRs: We believe people do their best work when it directly serves their future. We work closely with every team member through structured Personal Development Reviews (PDRs) to ensure day-to-day tasks actively align with their long-term career ambitions.
Friday Core Hours: Regardless of the Mon–Thu pattern, all staff work core business operations on Fridays from 09:00 to 13:00.
Friday Afternoons (Charity & Well-being): The afternoon of every Friday is dedicated to company-supported initiatives. For three Fridays a month, staff dedicate this time to charitable work. For one Friday a month, the afternoon is reserved for a relaxing, company-funded well-being activity.
3. Special Circumstances and Physical Attendance
Whilst the company is entirely remote by default, certain exceptional scenarios require mandatory in-person or physical attendance. These special circumstances include:
Annual Strategic Reviews and AGM: Mandatory attendance at the annual company alignment meeting or key stakeholder events, usually arranged in a centralised UK location (such as Manchester).
Bespoke Client Requirements: On-site consultations or hands-on digital training deployment when requested explicitly by a client and deemed essential by management.
Onboarding and Critical IT Provision: Initial physical collection or verification of assets, identity checks, or essential hardware servicing that cannot be executed via secure courier or remote diagnostic software.
Disciplinary or Legal Proceedings: Formal company hearings, regulatory inquiries, or legal reviews that necessitate physical presence.
The company will provide a minimum of 14 calendar days’ notice for any required physical attendance, barring urgent operational emergencies, and will reimburse reasonable travel and accommodation expenses in line with the Company Expense Policy.
4. Outcome-Based Structure and Mandatory Breaks / Workspace Requirements and Health & Safety
To maintain cognitive focus, physical and mental health, and clear momentum, the company enforces a structured working rhythm based entirely on outcomes, deliverables, and problem-solving.
The 4-Outcome Daily Rhythm: A standard full working day consists of four highly focused, 1.5-hour blocks. Rather than counting passive time spent sitting at a desk, work is measured by deliverables. Staff are expected to break their daily objective into four distinct outcomes—one for each 90-minute block.
Example (Illustration Project): Block 1: Initial concept sketch; Block 2: Clean line art; Block 3: Flatting and lighting; Block 4: Final rendering and polish.
Mandatory Break Structure: Each 1.5-hour outcome block must be followed by a mandatory rest period to reset cognitive focus:
Break 1 (Morning): 30 minutes
Break 2 (Midday/Lunch): 1 hour
Break 3 (Afternoon): 30 minutes
Away From Keyboard (AFK) Requirements: During these intervals, staff must step away from their workstations entirely.
Well-being Recommendations: It is strongly recommended that these breaks are used to replenish drinks, visit the toilet, enjoy a nutritious meal, stretch, or speak to someone in person—ideally without looking at any digital screen.
Employees must maintain a safe, professional, and ergonomically sound workspace.
Workspace Setup: The workspace must have reliable high-speed internet capability and adequate lighting, free from persistent background noise or distractions.
Display Screen Equipment (DSE) Assessment: Employees are required to complete an annual self-assessment of their remote workstation. 3E Web Media Ltd will provide or subsidise reasonable ergonomic adjustments (such as chairs, laptop stands, or separate monitors) to ensure compliance with health and safety standards.
5. Information Security and Information Commissioner’s Office (ICO) Compliance
Given the nature of the company’s business in web solutions, advertising, and e-learning development, protecting client data and intellectual property is critical. 3E Web Media Ltd is fully registered with the Information Commissioner’s Office under registration number ZB880718 (Company Registration Number: 16037128). All personnel must strictly adhere to data protection laws and the company’s ICO framework requirements.
Secure Networks: Staff must never connect to public or unencrypted Wi-Fi networks when accessing company files, e-learning platforms, or client dashboards. A secure, password-protected home network or an authorised Virtual Private Network (VPN) must be used at all times.
Device Security: All company-related work must be conducted exclusively on authorized, password-protected devices. Devices must be configured to lock automatically after 5 minutes of inactivity.
Access Control: Passwords, multi-factor authentication codes, and client credentials must never be shared with family members, third parties, or unapproved personnel.

Meeting Etiquette: Video cameras should remain turned on during internal team meetings and client-facing digital consultations to encourage professional engagement, unless technical bandwidth constraints dictate otherwise.
Responsiveness: Internal queries should be acknowledged within a reasonable timeframe during core hours, ensuring client workflows and platform deployment timelines are not delayed.
7. Policy Review and Acknowledgement
This policy is reviewed annually to ensure alignment with UK employment law, evolving cybersecurity standards, and organizational growth. Failure to adhere to the security, safety, and communication standards outlined in this document may result in disciplinary action.
